Why Business Analysis is Important in Project Management
When an entrepreneur launches a venture, his objectives are often personal. Once the small business grows, the mission and vision become less personal and put more weight on quality assurance, customer satisfaction, revenue increase, rewarding employment and future expansion. As the objectives become more comprehensive, in-house employees initiate projects that aim to fulfill such objectives.
Starting and finishing these projects requires a systematic approach referred to as project management. Project management is elaborate in itself, but business practices such as business analysis can make it less difficult.
Scope of Project Management
Projects are made to provide solutions and make the most out of opportunities. A project has only one focus. It could be something about product creation, service improvement, brand marketing, systems development, new store addition and so on. Aside from its focus, time, budget and skills are also essential components of project management.
Its scope is dependent on the parties concerned as well as other factors. It is vital to determine the scope to avoid excesses or deficits in finances and other possible problems. Business analysis of previous projects comes into play when creating and developing a new project. What systems worked before? How were resources utilized? These are just a couple of questions that you can answer by scrutinizing the data from both successful and failed business cases.
Role of a Business Analyst
A business analyst (also called BA) is not necessarily the head of a project management team. In fact, he is more likely to be a member. One reason for such is that business analysis is a means and not an end itself. Business analysts give insights that can help determine the needs, budget the resources, set the scope, create the steps and evaluate the project.
Business analysis has a lot to do with the introduction and measurement of changes. Analysts derive their insights from such changes. Aside from the project team, stakeholders can also benefit from the insights of these analysts. Stakeholders are composed of individuals (shareholders, employees, creditors, suppliers, etc.) and organizations (government agencies, labor unions, partner companies, advocacy groups and the community itself) that can impact or be affected by the project in one way or another.
Through business analysis, these entities can have an idea whether the project benefits them or not. If not, they can plan how to adapt or suggest modifications. Business analysts may also take into consideration the opinions of stakeholders when they are evaluating the project's progress.
Outsourcing vs. Hiring
A project team can either outsource or hire someone for its business analysis needs. Outsourcing is the better option if the project is only set in a few months; otherwise, for long-term projects, hiring someone is more practical. The employment can be project-based or contract-based. Hiring a business analyst on a contract basis is a good idea if the business needs his service besides the project concerned.
Business analysis is also applicable on the structures, systems and operations to pinpoint flaws and lay out possible solutions
