Boost Juice Bars successfully launched their in-store training and policy sign-offs into the corporate cloud, giving them unprecedented reporting capabilities on compliance rates right around the country. At the touch of a button, they can gauge current compliance rates by area or by location and identify areas for improvement. This process allows them to maintain operational standards and safety across the group. To follow is an interview with Boost Juice about how they utilize this online system to manage this process for them.
What type of training do you sign-off online? We use our online sign-off tool for our Operational Procedure Guide (OPG's) and Station Checklists. These are documents that outline the procedural steps for all of our stations, how to make various products and the steps to follow for cleaning our equipment and stores.
How does the sign-off process work at Boost? All new employees are trained to the letter of these OPG's and once the trainer/Store Manager is satisfied that the employee can carry out the tasks without supervision, we sign them off using our online sign-off tool.
How long did it take you to launch the sign-offs system? The system we use for sign-offs is part of an integrated online training and HR system so it was launched as a part of that system. It took approximately 5 weeks to get our system launched into the corporate cloud.
Are there any specific features within this system that you find add value to your business? The OPG's and Station Checklists are designed to ensure that our teams are safe in store. They also ensure we maintain consistency across the brand in terms of product and experience for our customers. By having this tool we are able to communicate the same message to our stores and hold them accountable to maintaining the standards. A great feature is the ability for a Store Manager to sign-off a team member but for the team member to also have to go in and verify that they have actually been trained. Also, not all stores are selling the same products so we are able to target the correct information to the correct locations. This helps keep the stats as accurate as possible.
In your experience, do new employees or managers need specific guidance to start using this tool for approvals and sign-offs? Yes just initially. We take our team through the basic functions of the sign-off tool when they first start with the company.
How much time on average do you spend maintaining your sign-off compliance? The actual OPG's are updated on a yearly basis unless there has been a procedural change within that time. There is a weekly report that is sent out to the Area Managers that outlines the current percentage of completion for each of their areas. They have a target of 85% that must be met (allowing for new people in training that may have accounts but not be fully signed off).
What advantages do you see in tracking sign-offs online in the corporate cloud? Sign-offs are a great way to manage compliance in stores, manage our OH&S, and maintain consistency in stores.
What advice or tips would you give to other users that are about to launch a system for online sign-offs? Ensure your team understand the purpose of the tool. We tell store owners that it is an electronic verification within our corporate training suite, that your teams are trained to the safest standard. This will help protect not only the team member but yourself. It is not just about making your stats 100%. Follow up is important. If your compliance stats are low, you are potentially open to legal compliance issues.
