When the task of sourcing a new Learning Management System or LMS lands on your work desk, it can be a fairly intimidating job to say the least. There are numerous service providers offering a range of LMS options, so how do you sort through all the bells and whistles to find a system that will deliver the outcomes you need? To help you begin to make sense of this minefield, here are our Top 5 Tips for selecting the perfect LMS for your company.
Let Your Training Strategy Drive Your Choice
All too often, when contemplating what we want in an LMS, we often dive straight into identifying the features and functionality we need. But it is vital to take a step back and look at your overall learning strategy. What are your short term and longer term objectives for training within your company and how do you see the LMS complementing those plans and helping to deliver that strategy? What kind of learning will your teams be taking part in, where will they need to access it and when? This strategy needs to be the major driver behind any choice you make.
Make sure that You Involve All Internal Stakeholders
In the majority of cases, a single division such as the Human Resources team will own the LMS implementation project. However, several solution providers offer tools with functionality and benefits that will overlap into other divisions such as Operations, Advertising, Compliance, Sales and more. It is important to engage these stakeholders early in the process to recognize their needs and wants and highlight their potential uses for the LMS. Many implementation plans have come unstuck when a stakeholder pops their head up towards the completion of the project and brings to light a critical feature that has actually been missed. It is much better to go wide early in terms of who you engage, than risk your project unravelling further down the track.
Prioritize what is Critical
With your training strategy in mind, you need to identify a list of selection criteria and divide it into the "Must Haves" and the "Nice To Haves". Each list should then be prioritized to identify what elements are the absolute deal breakers. If a system does not provide one of your deal breaker features, regardless of how fancy it is in other areas, you CANNOT consider it further.
Make sure that this list is cross-referenced with other departments and stakeholders so that their requirements are taken into consideration from the very beginning. When evaluating potential solutions against these criteria, it is helpful to give each vendor a rating score for each item. For instance, one vendor may offer a certain feature in a basic form, where another could provide a more sophisticated solution. A simple tick and cross rating would not distinguish between the two.
ALWAYS Keep Your End Users Front of Mind
Some suppliers will concentrate their presentation on how easy their LMS will make the lives of the platform administrators, saving them time and money, improving processes and providing excellent reporting. However a key deciding factor should always be the experience the LMS will provide to the end user. Determine the various groups of end users and consider their needs, how they will connect with the LMS, what will be most important to them and what they might find irritating. The ideal LMS will be one that your users WANT to engage and interact with, not one that will make them roll their eyes whenever it is mentioned. Does the LMS reflect your company personality and does it promote natural and easy interaction with the platform that makes users feel welcome and will encourage them to return time and time again.
Aim for the Future
You may find an LMS that fits your requirements today. But you should consider whether it has the capacity to grow with you into the future. Is it scalable as your company expands and will it continue to be flexible and responsive as your needs change. Investigate how frequently innovative features or upgrades are added to the LMS and whether these come at additional costs to you. Does the supplier speak with their community of administrators when designing these upgrades to make sure that they are meeting market needs.
Changing systems is a time consuming and expensive exercise so you need to make sure that your preferred provider can satisfy your needs today and well beyond tomorrow.
